Disposal of Surplus Property

In order to better promote the disposal of surplus property on campus, the Environmental Stewardship Program (ESP) will pick-up reusable surplus items at no cost to campus departments. Departments must send a detailed list of the items for collection, including contact information, to FO Work Management through campus mail or fax, 864-4707, to coordinate pick up. Only items from University of Kansas (KU) departments will be accepted. Requests to recycle surplus items located in off-campus storage facilities will be assessed a $23 per hour per person fee.

Accepted reusable surplus items include:

  • Reusable office furniture and equipment.
  • During the Student Housing Residence Hall move out, furniture may be accepted.

Other items may be considered for this program. ESP will examine each item on a case-by-case basis.

Departments disposing of reusable surplus items are responsible for all required documentation to dispose of the surplus item(s). A Disposition of Property (DA-110) form is required for any item that originally cost $2,000.00 or more. The department must have an approved copy of the DA-110 before contacting Work Management to coordinate pick up. In addition to the KU Surplus Property Program, departments may utilize other disposal options including trade-in allowance or sale by Purple Wave Auctions. These processes must be approved and coordinated with Property Accounting Services and you may contact Janet Mears for additional information.

Redistribution of Surplus Property to KU Departments

Priority will be given to campus departments for the redistribution of surplus items. Items available for redistribution on campus will have a predetermined, nominal price determined by ESP staff, and an additional fee will be charged for delivery.

Criteria ESP uses to establish surplus property value:

  • Original cost of the surplus item.
  • Current price of a replacement item.
  • Condition of item.
  • Quantity of items in storage.

To assist departments looking for reusable equipment, ESP will maintain an updated inventory on the Program's website, to include digital pictures, item descriptions, dimensions and conditions of surplus property available for pickup or delivery. This website replaces the "Trader's Corner" website.

Departments are encouraged to view the surplus inventory between 8 -10 AM on Tuesdays and Wednesdays, or by contacting ESP to make an appointment. ESP will help in the furniture selection process. When a selection is made, the department must contact Work Management with a list of materials intended for purchase, including delivery instructions, and an SOV to finalize the purchase. The SOV will be processed upon the department's receipt of the items, and ESP will assess a $23 per hour per person delivery fee in addition to the material charge. Departments may choose to pick-up the items by appointment at no charge.



Redistribution of Surplus Property to Non-Profits

After an item has been stored for 2 weeks, it will be available for donation to the approved non-profits list maintained by the KU Property Accounting Services Department. Any organization with a 501 [c] 3 designation will be given the opportunity to receive surplus items upon submittal of a letter proving their status as a registered 501 [c] 3 organization to the KU Property Accounting Services Department. Surplus items will be shown by appointment only and are available on a first-come-first-served, no-returns basis. No delivery is available. Selected items will be considered a donation. Non-profits receiving donated surplus items must present a letter listing the selected items and acknowledging transfer.



Redistribution of Surplus Property via Competitive Bid

Any items not selected for reuse by campus departments or non-profits would be sold at public auction on an as-needed basis.
